As a Documentation and Customer Service , you will play a crucial role in ensuring the smooth operation of our shipping processes. You will be responsible for managing shipping documentation, addressing customer inquiries, and providing support throughout the shipping lifecycle. Your attention to detail and strong communication skills will help us maintain our commitment to excellence and customer satisfaction.
Responsibilities:
Import
- Oversee the import documentation process, including receiving discharge lists and verifying delivery orders and release letters.
- Ensure timely distribution of import-related documents to the appropriate departments (yard planners, customs liaison, etc.).
- Verify the accuracy of documents such as cargo manifests, EIRs (Equipment Interchange Reports), and customs clearances.
- Ensure that all import shipments are documented correctly for entry into the terminal’s systems.
- Liaise with customs authorities to ensure that all import documents meet regulatory requirements.
- Assist customers or their representatives with inquiries related to import documentation and the release of cargo.
- Identify and resolve any issues or discrepancies in import documentation that could delay the release or processing of cargo.
- Coordinate with the documentation team leader to escalate more complex issues if needed.
- Ensure that all import documents are filed and recorded accurately in the terminal’s system.
- Prepare reports related to the status of incoming cargo and submit them to management

Export
- Manage the export documentation process, including receiving and verifying export cargo manifests and loading lists.
- Ensure all export-related documentation is completed on time to meet vessel loading schedules.
- Verify the accuracy of export-related documents, such as shipping orders, booking confirmations, and customs forms.
- Coordinate with vessel operators to ensure the correct loading of cargo based on documentation.
- Communicate with yard planners and RO/RO drivers to ensure proper stowage and loading of export cargo according to the plan.
- Collaborate with vessel agents to handle any last-minute changes in the export plan.
- Ensure all export shipments comply with local and international regulations, especially for special cargo (DG/REEF).
- Work closely with customs and regulatory authorities to clear export cargo for vessel loading.
- Maintain accurate records of all export-related documents and ensure they are properly filed for future reference.
- Generate reports on export operations and document status for management and customs as needed.
Qualifications:
- Bachelor’s degree in relevant filed
- Min. 3 years of experience (export or Import) in shipping line
- Excellent Communication Skills
- Detail Oriented
