Pan Marine Shipping Services is currently seeking a highly skilled and motivated Ships Agency Manager to join our team. This role is pivotal in overseeing the efficient coordination of vessel operations, managing port calls, ensuring regulatory compliance, and maintaining strong client relationships. The ideal candidate will have extensive experience in maritime logistics, port operations, and ship agency management.
Responsibilities
- Ensure the effective coordination of assigned port calls.
- Advises on contractors’ selection of goods and services provided to principals
- Attend onboard vessels as required, in accordance with customer requirements.
- Assist Port call preplanning.
- Optimize appointment of Operators to vessels and confirm alignment with vessel management.
- Prepare PDA for Transit & port calls in order to arrange remittance in due time.
- Prepare Necessary docs for Port Call vessels.
- Co-ordinate between accounts, ports and Offices
- Ensure regular updates for the Port Call Calculator and Transit Calculator
- Establish and maintain vessel’s files and ensure all transactions are updated on systems in a real time manner
- Report leads, business opportunities and relevant port updates observed to the direct Manager.
- Monitor and record arising expenses during vessels’ port call.
- Ensure compliance with Ships Agency processes, standards and procedures,
- Ensure proper monitoring of the vessel and attendance to any follow up enquiries.
- Ensure the usage of shipping system as the main reporting tool.
- Ensure accurate and immediate response to all incoming emails as per Pan-Marine SOP.
- Revise appointments and voyage orders to avoid any miscommunication
- Ensure Cash-in-Transit (Cash to Master) as per company procedure.
- Quote for spot jobs as per Pan Marine Tariffs.
- Ensure that all operations team in Egypt are fully aware about PPL systems (Existing / New)..
- Monitor local branches performance
- Ensure that all PPL updated with new (Tariffs, Decrees, Circulars…etc.)
- Communicate proactively & clearly with customers and all involved parties
- Ensure receiving of proforma prior to vessel departure.
- Regularly review Port Cost estimates to ensure their accuracy
- Ensure dispatch of revised DA after departure.
Qualifications
- Bachelor’s degree
- MBA Holder is a Plus
- Minimum 8 years’ experience in Shipping Agency with min. 5 years in a supervisory role
- Strong team orientation and has the ability to manage cross-functional relationships in a dynamic and fast-paced environment.
